The school’s Management Information System (MIS) is used to generate and complete reports. Formal names (e.g. James) are to be used in the title while the informal version (e.g. Jimmy) may be used within the report itself. The correct spelling of these names will be taken from the latest version recorded on the MIS. If parents indicate in writing that the names need changing then amendments will be made.

Comments should be written in sentences. They should address what the student has achieved in terms of learning

The content of the course is included as a standard part of the MIS and should be reviewed prior to every report run. It is entered into the system by the Administrator once only and is not required to be part of the report process.

Staff complete, via their portal to the MIS, sections on Effort, and Targets. Comments can be taken from pre-defined comment banks but each section should read as a sentence and be coherent. Care should be taken over spelling. If in doubt please refer to a dictionary.

Deadlines are set with care to ensure staff have sufficient time to complete their segment of the chain before they are passed down the line. If they are not met it causes tremendous problems as a log-jam results.

Subject Leaders and Heads of Year have a vital role to play in sampling the draft reports to ensure that they are of an appropriate standard. Draft reports are printed on the deadline day and delivered to these staff. A quality check should be then carried out (not a proof read) and if they are inadequate in any way then SLs and HoYs must speak to the member of their team and ensure that suitable changes are made. They are asked to check that all necessary reports have been completed by their team. If any reports are missing by 9.00am on the day of the deadline the curriculum Deputy is to be informed.
